How Codenotary treats your personal data

The following provisions describe how Codenotary treats your personal data across our website and our products: Codenotary Trust (a cloud service hosted by Codenotary), and Codenotary AgentMon and Codenotary AgentX (software installed and operated in your own environment).

1. Who We Are

2. Automatic Data Collection When Visiting the Website
We would like to inform you that data transfers on the internet (communication via chat or email) may be liable to safety gaps. Complete protection of data against access by third parties is not possible.
Generally, usage of our website is possible without providing any personal data. During each access to the website and during each data download, technical data will be temporarily stored and processed in a protocol file: anonymized (shortened) IP address, date and time, accessed page/name of accessed URL, browser type and browser version, and operating system used. These data are analyzed for statistical purposes and in order to improve and secure the offering, and are subsequently deleted.

3. Account, Contract and Billing Data
When you enter into a subscription with Codenotary, we collect and process the business contact, account and billing information reasonably required to establish and manage the business relationship with you — such as names, business e-mail addresses, company details and payment information — as well as license activation and entitlement data. We use such data only to process the concluded contracts, to provide and invoice the Services, to communicate with you, and to comply with legal obligations. Payment data is shared with our payment processors solely for payment processing.
We do not sell your personal data, and we do not actively transfer it to third parties, except to service providers engaged in the fulfillment of our contract with you or where required by law.

4. Product Data
Codenotary Trust (Hosted Service): Data you upload to or generate within Codenotary Trust is hosted and processed by Codenotary (and its hosting infrastructure providers) solely for the purpose of providing the service to you. We implement commercially reasonable technical and organizational measures to protect such data, we do not use it for any purpose other than providing and supporting the service, and we do not disclose it to third parties except to service providers engaged in the provision of the service or where required by law. You remain the owner of all data you upload. Usage data (such as user identification, log-in times and features used) is processed to operate, secure and invoice the service and to improve the user experience.
Codenotary AgentMon and AgentX (Self-Hosted Software): AgentMon and AgentX are installed and operated entirely within your own environment. Codenotary does not receive, access, host or store any data collected, processed or generated by this software in your environment — including telemetry, traces, logs, prompts and model outputs, source code, repository metadata, or personal data of your users, employees or contractors. The software may contact Codenotary or public release infrastructure to check for software updates and to validate license entitlements; such requests carry technical data (such as software version and IP address) but no content from your environment.
If you voluntarily provide diagnostic data to Codenotary for support purposes (for example diagnostic bundles or log excerpts), we use such data solely to provide support, treat it as your confidential information, and delete it once the support case is resolved. You are responsible for redacting any data you do not wish to share before providing it.

5. Cookies Policy
Codenotary, Inc. (“us”, “we”, or “our”) uses cookies on the https://codenotary.com website (the “Service”).
Cookies are small pieces of text sent to your web browser by a website you visit. A cookie file is stored in your web browser and allows the Service or a third-party to recognize you and make your next visit easier and the Service more useful to you. Cookies can be “persistent” or “session” cookies. Persistent cookies remain on your personal computer or mobile device when you go offline, while session cookies are deleted as soon as you close your web browser.
We use the following types of cookies: Essential cookies, which we may use to authenticate users and prevent fraudulent use of user accounts; and Analytics cookies (Google Analytics), which we use to understand how the Service is used so that we can make improvements. We do not use advertising or social media cookies.

6. Google Analytics
This website uses Google Analytics 4, a web analytics service provided by Google LLC (“Google”). Google Analytics uses cookies and similar technologies to help us analyze how visitors use the website. The information generated (including device and browser information, approximate location, and pages visited) is transmitted to and processed by Google on our behalf. Google Analytics 4 does not log or store full IP addresses. We use this information to compile reports on website activity and to improve our offering; we have not enabled advertising features.
You can prevent the use of Google Analytics by refusing analytics cookies in your browser settings or by installing the Google Analytics opt-out browser add-on available at https://tools.google.com/dlpage/gaoptout. 7. Your Privacy Rights
Depending on your state or country of residence, you may have the right to: (a) confirm whether we process your personal data and access it; (b) correct inaccuracies in your personal data; (c) request deletion of your personal data; (d) obtain a copy of the personal data you provided to us in a portable format; and (e) opt out of targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects. Codenotary does not sell personal data and does not use it for targeted advertising.
To exercise any of these rights, contact us at info@codenotary.com. We will respond within the timeframe required by applicable law. If we decline to take action on your request, you may appeal our decision by replying to our response with the word “appeal” in the subject line, and we will review the appeal.
Where our processing is based on your consent, you have the right to withdraw that consent at any time. We would like to inform you that after withdrawal of your consent, the future and current provision of services may be restricted or made impossible.
Note: for data processed within Codenotary Trust on behalf of a business customer, or within self-hosted AgentMon/AgentX deployments, please direct requests to the organization that operates your account — Codenotary processes such data only on that organization’s behalf, or not at all.

8. Data Retention and Security
We retain personal data only as long as necessary for the purposes described in this policy or as required by law (for example, invoicing records for tax purposes). We protect personal data with commercially reasonable technical and organizational security measures appropriate to the nature of the data.

9. Changes to This Policy
We may update this Privacy Policy from time to time. The current version is always available on this page, together with its effective date. Material changes will be announced on our website or by e-mail to the address registered for your account.
